Cancellation and Refund Policy for Counseling Booking

At Abby Wellness Clinic, we understand that unforeseen circumstances may arise, leading to the need for cancellations or rescheduling of appointments. We strive to provide flexibility while also ensuring a fair and sustainable policy for both our clients and therapists. Please review our policy regarding cancellations and refunds:

Cancellation and Rescheduling

  • Clients are kindly requested to provide a minimum of 48 hours’ notice for appointment cancellations or rescheduling requests.
  • Cancellations or rescheduling requests made within 24 hours of the scheduled appointment may be subject to availability and will be handled on a case-by-case basis.
  • To cancel or reschedule an appointment, clients are required to notify our office by phone or email, ensuring that they receive confirmation of the cancellation or rescheduling request.

Late Cancellation and No-Show

  • Clients who fail to provide a minimum of 48 hours’ notice for cancellations or do not show up for their scheduled appointment will be considered late cancellations or no-shows.
  • Late cancellations and no-shows may be subject to a fee equivalent to the full session rate, which will be charged to the client’s account.

Refunds

  • Refunds may be issued in certain circumstances, such as technical difficulties preventing the counseling session from taking place or extenuating circumstances deemed appropriate by the practice.
  • Refund requests should be submitted in writing, detailing the reason for the refund, and will be reviewed by our administrative team.
  • Refunds, if approved, will be processed within a reasonable timeframe, typically within 7-14 business days, using the original payment method or kept in exchange for future therapy sessions.

Exceptions and Special Considerations

  • We understand that emergencies and unexpected situations can occur, and we are committed to being compassionate and understanding. Clients facing exceptional circumstances are encouraged to reach out to our office as soon as possible, and we will assess each case individually.
  • In situations where the therapist needs to cancel or reschedule an appointment, reasonable efforts will be made to provide timely notice to the client, and alternative arrangements will be offered.
